Researchers wishing to view materials held in Archives, Rare Books and Special Collections will be asked to fill out a registration form and to surrender to the staff valid picture identification (e.g. passport, driver’s licence, or student ID) during the time in which materials are being used. Additional identification may be required.
Additionally, the following rules must be adhered to while visiting:
- No food and beverage are allowed.
- Personal belongings, including backpacks and outer wear, are not allowed at the research table.
- Wash your hands before using materials.
- Researchers will be limited to the use of one item at a time.
- Handle books and manuscripts with respect and care, and do not handle them more than is necessary.
- Do not lean or place pressure upon the research items. Staff can provide you with appropriate weights. Do not lay books facedown. Do not use books as writing surfaces.
- Use a laptop computer or a pencil and paper for taking notes. Ink pens, felt-tipped markers, etc. are not allowed.
- Reproduction may not be possible, due to the fragile nature of certain items. When photocopying is allowed, it will be undertaken by staff for a fee.
- Researchers may use a camera, but flash must be suppressed. Images taken are to be used in compliance with the fair dealing provisions in the Copyright Act of Canada.
- Depending on the nature of the materials being viewed, researchers may be asked to use cotton gloves. These will be provided. It may be necessary to place some items in specially designed foam supports while in use. This assessment will be carried out by the staff.
Staff will be available at all times to assist you. Contravention of any of these rules may result in loss of research privileges.
