University of Windsor departments may book a dedicated space in Leddy Library for master's and PhD defences.
Located on the third floor of the Leddy Library West Building, Room 303W provides a private and comfortable setting for both in-person and hybrid defenses. The space includes large tables, seating, a presentation screen, a private office, and a washroom for candidates and guests. The room can accommodate up to 15 guests and offers views of the campus.
Who Can Request the Space
- Departments and faculties at the University of Windsor may request the use of the room for graduate thesis and dissertation defences.
- Use of the space is subject to approval by the Office of the University Librarian.
- Requests from groups external to the University may be considered only in exceptional circumstances and on a case-by-case basis.
Request, Approval and Room Access Process
- All requests must be submitted through the designated booking form: Leddy Library Graduate Defense Room Booking – Fill in form.
- Following submission, the Leddy Library Administrative Assistant may contact the requester to confirm details such as timing, technology requirements, room access, and other arrangements.
- Bookings are first come, first served and subject to room availability.
- On the day of the booking, please visit the Circulation and Information Desk. Library staff will open the room for you.
Technology and Support
- Requests involving technology or hybrid participation should be submitted at least 10 business days before the requested date.
- An OWL video conferencing device can be provided when a virtual connection is required.
- Please indicate if a laptop is required when submitting the form.

Booking Time Frames
- Please submit requests at least 10 business days before your preferred date.
- Requests submitted fewer than 5 business days before the requested date may be declined.
- Requests should include specific proposed dates and times.
- Extended bookings may be accommodated by mutual agreement and subject to availability.
