Are you an avid library user who is passionate about improving library services and spaces? Want to make your voice heard and gain leadership experience?

The Library is recruiting students for its Student Advisory Group (SAG), a dynamic team of student leaders who help shape the future of library services.

We welcome students from all academic levels and equity-deserving groups.

We are looking for 8-10 students at this time. We anticipate more opportunities to join in the future. 

Commitment:

Our first meeting with be in January 2026

2–3 meetings per semester (60–90 minutes each)

Terms of Reference

Mandate/Purpose  

The Student Advisory Group (SAG) provides a structured channel for student voices to inform the library about their experiences, needs, and priorities as library users. In turn, the SAG deepens student understanding of the library’s services, spaces, and operations. 

The SAG acts as a bridge between students and the library by: 

Providing meaningful input into library services, resources, and spaces.  Enhancing communication between students and the library.  Contributing to assessment activities.  Supporting student leadership development while advancing the library’s mission. 

 

Review Process 
These Terms of Reference will be reviewed annually by the SAG and the library to ensure relevance and effectiveness.  Amendments may be made with agreement of both the SAG membership and library administration. 
Reporting & Accountability  
The SAG will provide recommendations to the library on services, spaces, policies, and initiatives.  The library will respond with updates on actions taken or reasons why actions are not feasible.  Meeting summaries will be shared with members and, where appropriate, with the wider student community. 
Meetings 
Frequency: 2–3 times per semester, 60–90 minutes each.  Format: In-person preferred  Agenda Setting: Prepared by library members in consultation with the Chair/Co-Chair.  Decision-Making: The SAG functions in an advisory capacity; consensus is encouraged, but final decisions rest with the library. 
The Library 
Listen and respond to student input.  Integrate feedback into planning and decision-making where appropriate.  Provide recognition for student contributions (e.g., co-chair leadership opportunities, resume credentialing, food at meetings). 
Library Staff Liaison 
Coordinate meetings, agendas, and communication.  Provide information about library services, projects, and strategic priorities.  Ensure follow-up on SAG recommendations and communicate outcomes back to members. 

Roles & Responsibilities  

Student Members 
Attend scheduled meetings (2–3 per semester).  Contribute constructively to discussions and share feedback from their student communities.  Act as ambassadors for the library by raising awareness of library initiatives.  Respect group diversity and uphold values of inclusivity and collaboration. 

Membership  

Composition: 8–10 students representing a mix of undergraduate, graduate, international, and equity-deserving groups, as well as frequent library users.  Eligibility: Open to students from diverse academic programs and backgrounds, with intentional outreach to Indigenous, Black, and international student groups.  Leadership Roles: Members may serve as Chair or Co-Chair to help guide meetings and represent the SAG in broader contexts.  Term: One academic year, renewable. Recruitment will be ongoing to address turnover.
